In the past, OSHA inspections were limited to just the facility where the safety issues were being investigated. With the recent ruling, that’s no longer the case. If you find a safety risk at one location, OSHA is now making you responsible for fixing those issues at all of your locations, regardless if they’ve inspected your other locations. 

How can you reduce your risk? Businesses need to share all of their safety issues across their entire organization and remedy any concerns in all of their locations. How can this be accomplished? Many companies are using mobile safety forms to complete injury reports for OSHA recordkeeping and they are doing it in real-time.

All of the company employees who are responsible for safety management and compliance now have access to all of the OSHA records from a centralized database. These records can be accessed on any mobile device like smartphones, laptops, tablets, and iPads. They can also be alerted as soon as the safety or injury form has been completed.

As soon as the safety and compliance team is alerted of a safety risk, they can now go into action mode and inspect their location to ensure those risks aren’t present at any of their job locations. Mobile forms solutions are much more powerful than basic electronic or digital forms. They can now be completed from mobile devices (smartphones, tablets, iPads, etc.) by your safety and compliance teams, employees or on-site. What’s great about using mobile forms on mobile devices is that these site inspection forms automatically include the date, time and location of when they were completed.

Mobile forms can also be set up with intelligent workflows to automatically notify the HR department or safety and compliance officers of the company as soon as a mobile safety or injury form is completed. In addition, you can gather all of your safety documentation within the mobile form and include photos, videos and voice notes. These forms with the rich media help create an audit trail, so that if any questions arise, businesses can search the forms and have all the documentation embedded in the form and find the information quickly across their entire organization.

If so, you need to know about a recent groundbreaking ruling that could dramatically increase the risk you are exposing your company to, if you continue business as usual. Central Transport, based in Warren, Michigan, is a privately held trucking company. They focus on the long-haul market servicing the major regional markets in the US. They have nearly 200 customer service centers throughout the US. At their Billerica, Massachusetts shipping terminal, they were recently fined $330,800 for 14 workplace safety and health standards violations. Although the fine is large, what we should be paying attention to is the reason for the fine. Read the following excerpt from a recent Department of Labor OSHA press release.

“Judge Baumerich’s order is significant and precedent-setting. This is the first decision by an OSHA Administrative Law Judge expressly finding that the U.S. Occupational Safety and Health Review Commission may have the authority under the OSH Act to order abatement measures beyond the specific violations identified in the citations. The department is now authorized to proceed with discovery and to demonstrate, by presenting its evidence at trial, that enterprise-wide abatement is merited on the facts of this case,” said Michael Felsen, the regional solicitor of labor for New England.1

Here’s OSHA’s take on what this ruling means for businesses that operate in more than one location:

“When an employer has hazards occurring at multiple locations, common sense and reasonable worker protection law enforcement both dictate that the employer take corrective action to safeguard the health and well-being of employees at all its worksites,” said Kim Stille, OSHA’s regional administrator for New England.

What does this mean for businesses that operate in more than one location? Based on their interpretation it now means that OSHA can cite a facility or location that they haven’t even visited. They are expecting you to protect the safety of your employees at all your locations, at all of your worksites, based on them finding violations at an individual location. Everyone nowadays has smartphones on the job sites. Did you know you can leverage the power of those mobile devices to protect your company’s interests in an easy and organized way using mobile forms with photos, video, and sketches?

Here are 3 ways you can use mobile forms with photos, videos, sketches and more to protect your business: 

1.  Tools and equipment 

You can be proactive and ask employees to complete a safety checklist on a mobile form to document the safety conditions for tools and equipment. They can take photos, draw sketches or record voice notes to capture the condition of the tools and equipment in their work areas.  No more excuses that they didn’t have the right form. You can provide tablets or smartphones for use in their work areas or they can use their own to document the condition of the tools and equipment with photos and videos. You can also ask them on the mobile form if they have any employee-owned equipment being used to perform work. A South Carolina lumber company learned the hard way that they were not only responsible for the tools and equipment they provided employees, but they were responsible for the safety of employee-owned tools and equipment they use while doing work. The South Carolina Occupational Health and Safety Administration (OSHA) fined a lumber company for a substantial safety violation for an employee-owned box fan that was missing a ground pin in an electrical shop. 1

2.    Proof of Performance

You can’t always be at every job site, but employees can use mobile forms with photos, videos, sketches, audio notes and notations on photos for employees to include with their daily log report to know exactly what was completed on the job site. By using mobile forms with photos, videos, and sketches, you can capture and keep the project’s daily logs organized to quickly access the information when you need it. You can see what happened each day on the job site. You can even use electronic signatures to get the customer to sign off that the work that was agreed upon was completed. Don’t just have your employees send you pictures by text messaging or emails.

You also want to make sure you can set up mobile forms in advance to alert your entire team immediately to any potential risks and to take action immediately. I wanted to take a look back at the technology journey of mobile forms from paper. I was a kid born in 1970 and grew up in a small town of Payson, UT. I remember like every other kid being taught the alphabet, how to read, and how to write in plain English as well as in cursive. I remember as I was growing up seeing reams and reams of paper in all of my homework and books I read. Paper was everywhere and part of everyday life. My parents read the newspaper every day to get the latest news. My mother was a teacher and everything she did was on paper for herself and for her students. My father was a general contractor and everything he did for his business such as bids, contracts, blueprints, etc were all on paper. The computer was a new thing. My first computer, the Commodore 64, was awesome but was mainly used for games at my young age. 

When I got to my junior high and early high school years, the early 80’s desktop computers were just starting to enter my world. Again, these computers were mainly for cool games like Asteroids, Donkey Kong, Pac-Man, and Space Invaders. They were just starting to offer basic programming classes in high school by the time I got there. Being from Utah, I remember this company called Novell that started up nearby that became a huge network computer giant. They allowed companies and schools to run on a network and share applications and data. I also remember that nearby was another company called Word Perfect that started up. Some of my classmates in high school even interned there and I knew other people in the community that worked there. This was the beginning of a powerful word processor that would replace the old typewriter. Now word processors were the mainstream tool to create visual words, thoughts, and documents with vs. typewriters and handwritten letters. Then another competitor to Word Perfect called Microsoft created a competing product we are all very familiar with, Microsoft Word. The world was becoming digital right in front of me.

As I entered college in the early 90’s, I took a liking to Computer Science and became a software engineer. Technology was all around me and I loved it! Now, I would be a part of actually creating software and technology that changed the way people conducted business or how people communicated data and information. Writing something with a pencil or pen on paper was becoming a very rare thing. Signing a check or writing my name in cursive was almost forgotten (Sad really!). By that time, people were writing books, articles, documents, etc in the word processors that had quickly become a staple. The internet was still a fairly new concept and was just beginning to evolve into something bigger at that time. Most software programs were still desktop installed or client/server applications.

A few years later into the mid to late 90’s, the internet was becoming its own new world. All of the sudden, you started seeing applications showing up on the internet. During that time, people who were used to filling out forms on paper and we were starting to see digital forms built and filled out on Word Processors. We also started to see HTML forms coming to light on the new internet. How awesome was that? Fill out some information online, submit it, and the data was available for others to see in another web browsers somewhere else in the world. It was the beginning of data communication over the internet in an interactive way and the beginning of e-commerce as we know it today!

In early 2000, I worked at a company that jumped onto the new e-sign legislation that was passed which allowed an electric signature in an electronic document to become legally binding. This was well before Adobe perfected electronic signature document management software. The company I was with was on the cutting edge and had a full electronic form document workflow with a legally binding signature on the document. Just as this new technology was replacing the old word processing software, this company was located in one of the original Word Perfect buildings in Orem, UT. I remember they had a big news day in Utah with two lawyers, one in Salt Lake City, UT and one in Saint George, UT giving a live demo of the online document workflow all on the internet, both signing electronically. The document was legally binding without a pencil, pen, or paper involved at all. It was truly groundbreaking. The company was later sold and ultimately evolved into some other business on the East coast during the dot.com boom. Many companies went on to master this concept, with Adobe being one of those. This technology has opened up so many avenues for companies to streamline and optimize the way they do business over the internet.With the latest technologies, you can now build or mimic a paper form you use every day in your business into a mobile or electronic form online where you only need to build the form once. It’s stored forever, and you can reuse as many times as you need to conduct business. This is an extremely powerful tool. No more lost paper, no more mistakes, no more trying to find where this customer or that customer’s signed document is located in some file cabinet somewhere. It’s all there right in front of you now… Online, when you want it, and in a format you want it in. It’s accessible from anywhere in the world! It’s easy to search and find business documents between you and your clients or you and your employees from your browser, and now not only on a desktop or laptop computer but from mobile phones or tablets. Amazing!

You can change the way you do business by transforming your paper business forms into mobile forms or electronic forms for any form you use today between you and your customers, vendors or employees. Everyone should consider looking into a solution that can get your forms online and go paperless, not just to be “green” and save paper, but to be streamlined, better organized and efficient. You will also preserve accuracy in the data transferred between you and your clients/employees. In fact, I would go as far to say that like the progression of paper/pencil to the typewriter, and the typewriter to the word processor, that leveraging digital and mobile forms in your business is absolutely essential! If you don’t have a solution in place now, you will soon need one in order to remain competitive in today’s marketplace.

In searching for electronic forms or mobile forms apps or software, you should find something that not only allows you to associate your forms with customers, employees, or other parts of your business, but make sure it also plays well with other business tools you currently use. Look for a mobile forms app or web-based software that can capture media including photos, video, and audio recordings, even when the mobile device isn’t connected to the internet. You’ll also want to make sure you find a mobile forms app that syncs the data back to the cloud as soon as the mobile device is connected to the internet. There are many forms tools out there to choose from. I encourage you to look at the big picture and find a solution that will automate all your business processes and streamline your workflows from beginning to end. Find solutions that work together with native integrations right out of the gate. Think bigger than selecting just a mobile forms solution. Don’t just think about using mobile forms for individual business functions. Think about how you can use mobile forms across your entire business. Think about how you can prompt employees to complete HR or injury forms when they clock in or out of your employee time tracking solution to improve the timeliness of form completions. Think about using mobile forms to track maintenance records while tracking assets in your asset management solution or work orders within your field service management software. Find a solution where your key business applications work together to manage all of your resources for labor, assets, forms, service scheduling and dispatch that work with your accounting and payroll systems. Simplify your life and avoid costly custom integrations to make all your business systems work together and play nice. Taking this approach will help provide you with a much more cost-effective solution and will ensure that you enjoy more synergy between the tools you use and ultimately give you more bang for your buck!

3 Ways to Simplify Workforce Management with Mobile Forms and Employee Timekeeping

I can actually say that I survived my first World of Concrete trade show. For me, there was a buzz of excitement and the atmosphere was electric at the Las Vegas Convention Center. It was like being on the trading floor of the NYC Stock exchange, but the excitement wasn’t for an opening bell or trading, it was around CONCRETE. Very powerful indeed.
As we get busy in our day to day life, we forget just how important concrete is to our lives and to our environment. Roads, Buildings, Jobs, Growth. Could you imagine the world without concrete? A few questions came to mind.

Would we be able to drive our 4×4 Trucks or Hot Rods down the road?
Would we be able to take Momma to a fancy dinner?
Where would we live?
What would life be like today?

I met a bunch of smart, hard working, men and woman that are dedicated to their trade and their companies. They were looking for ways to improve themselves and their companies to get better results in less time. To these people, I raise my Beer to you and say, “THANKS for all of your hard work, and long hours that you put into growing the infrastructure of AMERICA.” Because of you, I can enjoy the open road, a fancy dinner with Momma, live in a wonderful home, and I can enjoy a better America.

It was interesting to see that everyone I spoke to at the World of Concrete seemed to be looking for something specific… a tool, a process, or something to give them an edge in the construction industry. They wanted to find things that would make them a little different, a little more profitable, a little more efficient, a little safer, or help them work a little smarter.
It really became obvious to me that a lot of the folks at the World of Concrete really saw technology as a way to get the edge on the competition. I was impressed with by the technical savvy of the attendees. They weren’t asking the basic questions you typically hear about union payroll rules. They asked if we had a mobile app. I was excited to tell them that we not only have a mobile app, but we also have web-based software to connect employees in the field to the office.
I went on to further explain that there are 3 ways this snazzy mobile app and web-based software simplifies managing their workforce:

1. Capture and Manage Data using Mobile Forms from anywhere

Through this mobile app, you can manage all of your company resources from any device. All completed forms, regardless of what kind of device was used, are easy to find. This is because all of the information is sent to one place inside of WorkMax. This really caught the attention of the payroll folks, because most of their employees are in the field and don’t typically even come to the office. They were very excited to learn that everyone could access and complete mobile forms or digital forms from anywhere. It was so fun to show them how I could quickly create a mobile form on my iPad in 2 minutes and that exact form could then be pulled up on my iPhone instantly. It knocked their socks off, if I do say so myself.

2. Simplify Managing Remote Employees with Alerts

Even while you’re on the job site, you can’t know exactly what’s going on with your employees all the time. Sometimes, you’re at one location and you’re employees are at another location. At times, it can be difficult to manage mobile workforces, but WorkMax simplifies managing all of your mobile employees, no matter where they are. I can’t tell you how many questions I got at the trade show about Geo-fencing. Everyone is familiar with GPS, but not everyone is familiar with how you can use GPS technology with WorkMax to create a virtual Geo-fence. For those of you that aren’t familiar, Geo-fencing allows you to set up a radius or perimeter around a physical location to identify the work area of an employee or where an asset should be. Based on GPS location, if the employee attempts to clock in or out of the system outside of the defined perimeter or radius, an alert is sent to their supervisor. This helps to ensure the employees are where they are supposed to be when they are assigned to a job site or project. It is extremely useful to supervisors with large crews in multiple locations.

3. Combine Mobile Safety and Injury Forms for with Employee Timekeeping

I always love asking people if they know how many safety forms were completed at their company today or how many injuries were reported. At the show, I asked 10 different people and most didn’t know or just thought it was a great question. Then, I asked them how many employees typically forget to clock in or out daily. Most of them answered that it is a RARE occasion someone forgets to clock in or out. I could barely hold back my excitement when I pulled out my iPhone, clicked on clock out and I was prompted with a question. It asked if I was injured on the job today and I had to answer the question before I could clock out. I showed them how simple it is to gather safety or injury information when you combine mobile forms with employee timekeeping. The next step was to show them how quickly you can answer the question, how many safety reports were completed today. I pulled up my iPad and showed them how they could quickly search by location to see how many safety forms were completed. I could also show them the most common injury type that occurred across the entire company. I got a lot of WOWs and that’s awesome. They couldn’t believe how simple it could be to get this information instantly; typically, it takes them days to receive injury reports.

In conclusion, being at the World of Concrete was an overall great experience! I love helping people improve their businesses with technology. In addition to seeing the many technology solutions at the trade show, I was also amazed by all the physical tools available, all the yellow iron, and all the many other types of suppliers that contribute to the Concrete Industry. Everyone there was an established part of the Concrete World that has helped to shape who we are as a country and a society.
I am a proud member of this industry.
I would challenge all of you to pat yourselves on the back for the great work you have done and the sacrifices you have made for Concrete.
I would also challenge you to open your eyes to new ways of doing things. To better ways of doing things to simplify your life at work.

Wow! What a great World of Concrete. We met so many people and it was so much fun talking with customers and new folks in the industry we hadn’t met previously. At big tradeshows like these, we also get a chance to meet up with our technology partners like Sage, Viewpoint, Dexter + Chaney and Foundation Software to see all the new features that are helping contractors improve their accounting. It just keeps getting better year after year. My favorite part is learning more about the business challenges related to managing forms (paper and digital forms), time and attendance, asset management and service scheduling and dispatch. My mind becomes a sponge.

This year it was such a stark contrast to our first time at World of Concrete back in 2006 when we would get people coming up to the booth saying that there is NO way they would ever get one of their employees to use a mobile device to do anything. We now have more people coming up to us and asking can you do this or that with my iPhone, iPad, Android phone or tablet. The answer is yes! I thought I’d share some trends we are seeing and how different companies are embracing more mobile technology. 

I was speaking with a CEO from a scaffolding company at World of Concrete 2016 and he was excited to see how he could use the mobile forms to capture rich media to solve a couple of different challenges he faces currently in his business. He was excited about the opportunity to use the video and photos on the mobile forms to help in the sales process to build accurate estimates or scopes of work for his scaffolding projects. He also liked the idea that his guys in the field could sketch something up or markup a photo within the mobile forms and email it to all of the company experts. He definitely saw this as a way to help leverage the collective knowledge of his entire team to help them solve problems faster while his crews were out on different job sites. He was also interested in combining the mobile forms and timekeeping functionalities to help ensure that employees completed their important daily reports as a part of the clock in and clock out process.

This year at World of Concrete, we had a lot of payroll folks asking us how WorkMax could help them make sure that the actual employee was the one doing the clocking in and out and there was no buddy punching. To keep the costs low for mobile time tracking, they needed to have multiple employees clock in on a supervisor’s iPad, tablet, or smartphone. They were getting pressure from their HR departments to make sure that they weren’t paying people for work they didn’t perform and for proof that they had indeed paid all the right employees for the work that they did perform. They told us they were working much more closely with HR to make sure they had controls in place to avoid exposing their company to risks for lawsuits or Department of Labor audits. I asked if it was due to the increase in lawsuits related to wage theft or any wage and hour claims and they affirmed that this was definitely a big part of it. It was great to be able to show them features that WorkMax offers to absolutely verify that each employee was the right employee recorded in the system with real demonstrations right there in the booth. We had so much interest in what was being shown that we ultimately had to set up a bunch of chairs to allow everyone to see the WorkMax solutions.  During many periods, it was standing room only!
